You don’t have to rip it all up and start again. You pick the worst offender, put it on a phone, and build from there. Here’s how firms like yours are getting the paper under control.
The paperwork that piles up
You know the ones. They’re the jobs that never quite get done and never quite go away.
- Job sheets that live in the van and come back coffee-stained, half-filled or not at all.

Paper feels free. It isn’t.
- Sheets go missing. A lost job sheet is a job you can’t invoice cleanly, or a dispute you can’t win because there’s no record of what was agreed.
- You can’t see the site from the office. Someone rings to ask where a job’s up to and you’re guessing, or phoning whoever’s on site to find out.
- You spend half the week chasing signatures. Sign-offs, job sheets, timesheets, all of it, all by hand.
- An audit turns into a scramble. When a client, an insurer or an inspector asks for six months of checks, a paper folder is a bad day. If a walk-round never made it back to the office, you can’t prove the check happened, even when it did.
What to digitise first
Don’t try to do the lot at once. Pick the one that hurts most. For a lot of firms that’s the daily walk-round or the job sheet, because they happen every day and touch both safety and money. If your headache is cash, start with quotes so they go out the same day instead of next week. If it’s compliance, start with the checks that keep failing to get filed.
Here’s the rule of thumb. Whatever you’re chasing hardest on a Friday afternoon is the thing to fix first. Get one process working on a phone, let the crew get used to it, then move on to the next.
