M8 Staffing place drivers, warehouse crews and industrial staff across Scotland and the north of England. They were running the whole operation across an older system and a stack of spreadsheets, with the revenue side living in one enormous workbook that had to be rebuilt by hand every time a question came up.
We gave them one system to run the business from. Candidates, clients, vacancies, bookings, compliance and revenue now sit together, and the team carries a native iPhone app for when they are away from a desk.
Simple but Powerful Candidate Entry
Booking is the heart of it. When a client needs staff, the system ranks the available people by how far they are from the site and whether they hold the right tickets, so the office fills a shift with the nearest qualified person in seconds instead of scrolling a list. The health and safety brief then sends itself to the worker two hours before they start.
Compliance is built in. Every candidate’s documents carry an expiry, and anything lapsing is flagged before it becomes a problem on site. A dedicated screen watches the hours of anyone on a student visa, so the agency never quietly breaches a term-time limit.
The system holds real personal and financial data, so security is the foundation. National Insurance and bank details are encrypted but still searchable, identity documents sit behind logged, authenticated access, and everyone signs in with two-factor authentication while the system keeps a full record of who saw what.
The iPhone app is a rolodex the team uses on the road. Clients and candidates live in their pocket, it works with no signal, and any number is one tap from a call, text, WhatsApp or email.
It is live, the M8 team are on it every day, and it turned a drawer full of spreadsheets into one place to run the agency.
