Off-the-shelf or built for you? Both are right sometimes. Here is how to tell which is right for you, without the sales spin.
When off-the-shelf wins
If your business runs a standard process that a popular package already does well, buy the package. Accounting, basic email marketing, standard online shops, common CRMs: these are solved problems, and a subscription gets you going tomorrow for a small monthly fee. If the tool fits how you work, do not pay to rebuild it.
When bespoke wins
Bespoke pays off when the off-the-shelf tools do not fit, and you can usually feel it. You are running the business on spreadsheets and WhatsApp, paying for three tools that do not talk to each other, bending your process to suit the software, or paying per user for features you never touch. At that point a system built around how you actually work saves real time and stops the double-entry.
The cost that is easy to miss
Off-the-shelf looks cheaper because the price is small and monthly. But add up the per-user fees as you grow, the extra tools you bolt on to cover the gaps, and the hours staff spend on workarounds, and the gap narrows fast. Bespoke costs more up front and is owned, not rented, so the bill does not climb every time you hire.

- Does a standard package already fit how you work? Buy it.
- Are you paying for several tools that should really be one? Lean bespoke.
- Is your real process living in spreadsheets and someone’s head? Lean bespoke.
- Will you keep paying more per user as you grow? Weigh up owning it instead.

The opposite. You own it, so you are not at the mercy of a vendor’s price rises or a feature they decide to drop.
