The honest answer is “it depends”, but that is no use when you are trying to budget. So here are real ranges, and more usefully, what moves the number up and down.
The short version
Bespoke software does not have to mean a huge cheque. We build in stages, so a focused first system that lifts your most painful job off spreadsheets can start from £150 a month, or as a one-off build you own outright. A full system that runs a department is a bigger piece of work, and a large, multi-team platform bigger still. You pay for what you actually need, in an order that makes sense.
What drives the cost
- Scope. How much the system does. One clean job costs less than ten.
- Integrations. Talking to your accounts, website, EPOS or a supplier feed adds work, and usually saves the most time.
- Users and roles. A tool for two people is simpler than one for fifty with different permissions.
- Data. Moving years of records in cleanly takes care.
- Design and polish. Something staff actually enjoy using is worth the extra, because a system nobody uses is the most expensive kind.
Bespoke versus a monthly subscription
Off-the-shelf software is rented. It is cheap to start, and you pay per user, forever, whether you use half the features or not. Bespoke is built once and owned. It costs more up front, but the bill does not climb every time you add a person, and it fits your business rather than the other way round. For a growing team, owning it usually wins over a few years.

We do not quote off the back of a wishlist. We have a short discovery call, agree exactly what the first version does, and give you a fixed price for it. From there you set the pace. No big upfront gamble, no meter running.
Common questions
Can you give me a rough figure before we talk?
Not fairly, because a booking system for a gym and a case-management system for a charity are different animals. What we can do is a free call where we scope the first version and give you a real, fixed number.
Is it cheaper to just use off-the-shelf software?
To start, usually yes. Over a few years, once you count the per-user fees and the workarounds for the bits that do not fit, bespoke often works out level or cheaper, and you own it.
Do I have to pay it all up front?
No. We build in stages, and you can spread it as a monthly figure from £150, or pay one-off for a system you own outright. Whatever suits your cashflow.
